We respect your privacy and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

2. What we collect

Account & contact: name, email, phone, encrypted password, billing address, payment tokens (via payment processors)

Property & usage:

  • Property addresses you search or save
  • Property IDs and component codes
  • Valuer General notices you upload
  • Notes, favourites, and research data
  • Comparable properties you select

Technical & analytics: IP address, device/browser details, page views, search queries, clicks, error logs

Optional location: if you enable location services for nearby property searches

Support communications: messages, help requests, feedback you send us (including via our contact form)

Government data: property sales records, land values, zoning, and component classifications from licensed sources

Analytics & Usage Data:

  • PostHog Analytics: We use PostHog to understand how users interact with RatesAppeal, including page views, navigation patterns, feature usage, search queries (anonymised), performance metrics, and A/B testing data
  • Data Processing: PostHog processes this data to help us improve RatesAppeal. Personal information is pseudonymised where possible, and we do not share individual user behavior with third parties
  • Opt-out: You can disable analytics tracking in your account settings or browser privacy controls

3. Why we collect it (purposes)

  • Service delivery: Generate research reports, evidence packs, and comparable sales analysis
  • Personalisation: Remember your properties, preferences, and search history
  • Communication: Send service updates, objection reminders, and marketing (with consent)
  • Security & compliance: Prevent fraud, enforce Terms, comply with legal obligations
  • Analytics: Improve RatesAppeal through aggregated usage analysis (de-identified where possible)

4. Lawful grounds

We process information to:

  • Perform our contract with you (provide the Service)
  • With your consent for marketing, optional cookies, location services
  • Comply with law including taxation, consumer protection, data licensing requirements
  • Our legitimate interests in security, fraud prevention, and product improvement (balanced against your privacy rights)

5. Sharing your information

We may share with:

  • Service providers: web hosting, email services, PostHog (analytics), payments, customer support platforms, Formspree (contact form processing)
  • Data licensors: as required for audit/compliance with government data licensing terms
  • Legal requirements: authorities where required by law, court order, or to protect legal rights
  • Business transfers: in merger, acquisition, or sale (subject to equivalent privacy protections)

We do not sell personal information to third parties.

6. Overseas disclosure

Some service providers store data overseas (primarily USA for cloud hosting and analytics). We use providers with strong security commitments and appropriate data transfer safeguards. PostHog may process analytics data in the United States. By using RatesAppeal, you consent to overseas disclosure in accordance with APP 8.

7. Cookies & tracking

We use:

  • Essential cookies: authentication, security, basic functionality
  • Functional cookies: remember saved properties, preferences, recently viewed
  • Analytics cookies: anonymised usage patterns to understand popular features
  • Marketing cookies: only with explicit consent for retargeting

8. Marketing choices

Opt-out anytime via unsubscribe links or Account → Communication Preferences.

Service emails (objection deadlines, security alerts, billing) cannot be disabled but aren't marketing.

9. Your privacy rights

  • Access & correction: View and update most information in your account dashboard
  • Data portability: Download your saved properties, searches, and notes
  • Deletion: Request account deletion (we may retain some records for legal/operational requirements)
  • Restriction: Ask us to limit processing in certain circumstances

10. Data security

We implement appropriate security measures:

  • Encryption: HTTPS for data transmission, encrypted database storage
  • Access controls: role-based staff access, multi-factor authentication
  • Monitoring: automated security scanning, regular backups
  • Incident response: established procedures for any data breaches

No security is 100% perfect. You're responsible for protecting your login credentials.

11. Data retention

  • Active accounts: retain data while you use RatesAppeal plus reasonable period for legitimate purposes
  • Cancelled accounts: delete within 12 months unless legally required to retain
  • Aggregated data: may retain indefinitely in de-identified form for analytics
  • Legal obligations: taxation records (7 years), consumer law claims, licensing compliance

12. Children's privacy

RatesAppeal is not intended for users under 18. If you believe a child has provided personal information, contact us to arrange deletion.
